Claiming CPD credits from the regulator

According to CICC updated regulations. https://college-ic.ca/licensee-obligations/ongoing-education-for-rcics/continuing-professional-development

  • Reporting your Continuing Professional Development (CPD) hours is a critical part of your Annual Renewal as an RCIC or RISIA. For the 2026 reporting cycle, you must complete and claim your hours before the June 30, 20XX deadline.

Here is a clear, step-by-step guide to logging your credits in the CICC College Portal.

Step 1: Sign In to the College Portal

Visit the official CICC Portal Login page. Use your licensee credentials (RCIC/RISIA number and password) to enter your private dashboard.

Step 2: Navigate to the CPD Section

  • On the main dashboard menu, click on the "Ongoing Education" tab.

  • From the dropdown or submenu, select "Continuing Professional Development."

Step 3: Access Your Learning Log

  • Look for the button or link titled "Start CPD Learning Log" (or "Continue CPD Learning Log" if you have already started adding hours).

  • This will open your personal record for the current licensing year (July 1, 2025 – June 30, 2026).

Step 4: Find and Select Your Activity

  • Click the "Select Activity" button. A search window will appear.

  • Search by Title: Type in the first few words of the seminar or bundle you completed (e.g., if you used a C.D.E.S. bundle, search for "16-Hour Bundle" or the specific course name).

  • Find and Click "Select": Once the correct activity appears in the search results, click it to link it to your log.

Step 5: Enter the Completion Date

  • The system will automatically populate the hours associated with that course.

  • You must manually select the Completion Date (the date you finished the final video or attended the live session).

Step 6: Add Additional Hours (If Applicable)

  • If you have more courses to report, click "Add Another" and repeat the search process.

  • Ensure your total hours meet your annual requirement (16 hours for RCICs, 6 hours for RISIAs).

Step 7: Save and Submit

  • Once all your activities are listed, review the details for accuracy.

  • Click "Save and Submit" to finalize the claim.

Important Compliance Reminders

  • Evidence Collection: You do not need to upload your certificates or invoices unless you are selected for a random CPD Audit. However, you are required to keep proof of completion (like your self-generated C.D.E.S. certificate) for at least 5 years.

  • Individual CPD Activities: If you completed an "Individual Activity" that was not from a pre-approved provider, it must have been approved by the College before you can select it in your Learning Log.

  • The June 30 Deadline: Even if you have completed the hours, your status will not be "in good standing" for the next year until you have successfully submitted the Learning Log and completed the rest of your Annual Renewal Form.

CICC CPD Audit Documentation Checklist

  • Proof of Registration (Receipt/Invoice): This confirms the provider’s name, the date of purchase, and the amount paid. It serves as secondary proof that you were enrolled in the course.

  • Certificate of Completion: Your primary piece of evidence. Ensure your self-generated C.D.E.S. certificate includes your full name, your license number, the date of completion, and the total number of hours.

  • Course Agenda: Keep a copy of the course outline or the "bundle details" page. This proves to the auditor that the content was substantive and relevant to your professional competencies.

  • Email Confirmations: Save the "Registration Confirmation" or "Course Access" emails you receive from C.D.E.S. These provide a clear timestamp of when your access began.

  • Learning Materials: If the course provided slide decks, handouts, or workbooks, save a PDF copy. In a deep audit, showing that you have the study materials proves active participation.

  • Declaration of Completion: If your regulator requires a signed declaration (like the one built into the C.D.E.S. certificate process), keep a copy of that signed text or a screenshot of the confirmation page.

Why Is This Necessary?

While you don't need to upload these files during your standard June 30 renewal, the CICC conducts random audits throughout the year. If you are selected, you will typically have a short window (often 15 to 30 days) to produce this evidence. If you cannot provide it, your credits may be revoked, which could put your license at risk.

Pro-Tip for C.D.E.S. Members

Since our system is updated and purged annually to prepare for the next licensing cycle, download your certificates immediately after finishing your bundle. Do not wait until next year to try and retrieve them!

Sample Letter

If the CICC selects you for a random CPD audit, they will typically send an email requesting proof of the hours you claimed in your Learning Log. Being organized and professional in your response can make the process go much smoother.

Here is a template you can use. Simply fill in the bracketed information and attach the documents from your "CPD Records 2026" folder.
